Synertec has worked with R&M Electrical for the last 19 years, initially with the installation of our Prism solution to automate the printing and posting of Sale Ledger documents to customers. What did they do before?

Prior to working with Synertec, R&M Electrical were printing invoices and then registering and matching them on the ledger. The manual nature of the work was both time consuming and resource intensive, as well as having an unnecessary impact on the environment through

waste of paper and toner.

R&M recognised this was an unsustainable way to operate and began to explore automation solutions to streamline this process, reduce the burden on their team and improve overall efficiency.

Synertec's role

We worked with R&M to conduct initial analysis of their need and installed Prism on their local server, customising the solution to ensure

it met R&M’s specific requirements around document recognition, data extraction, and output rules. This enabled the automation of printing and posting of Sales Ledger documents to customers and significantly cut down on manual processes and postal costs.

Our Account Manager worked closely with R&M to help address their evolving needs. It was identified that R&M’s Accounts Team

were spending a substantial amount of time manually processing supplier invoices.

With R&M already having Prism installed, it was a quick and easy transition to enable utilisation of our Purchase Ledger Automation

(PLA) solution. PLA enables the automatic capture, transformation, and delivery of purchase ledger documents into R&M’s finance (ERP) system. The process begins with Prism monitoring an email inbox or network location to capture inbound purchase ledger invoices, credits, and delivery notes. the PLA solution matches data against valid orders from the ERP. If no match is found, the system re-checks for a number of days before routing to a user for investigation. Once a match is found, Prism creates and uploads a bespoke file tailored to the ERP schema, and archives a copy of the document for retrieval through our User Interface, Prism Client.

With this streamlined and automated process in place, R&M accounts staff can now dedicate themselves to core responsibilities and tasks.

accomplished with the simple press of a button, saving them hours of effort every week. Most importantly, the invoices now reach their ERP system in real time, the majority of which have zero human touch points. This transformation has improved their efficiency, accuracy, and supplier satisfaction. They now see more than 80% of our supplier invoices being processed automatically.
