Five years on from the initial outbreak of COVID-19 across England and Wales, and despite the fact that we all live with it now alongside Flu as a mostly seasonal illness, there is still a significant proportion of our population that rely on the immunity provided from the vaccinations that are crucially offered during the designated campaigns.

Synertec were commissioned by NHS Notify on behalf of NHS England to support the Autumn Winter COVID-19 and Flu campaign from October 2024 to December 2024, specifically working to ensure the delivery of vital letters to enable citizens nationwide, who do not use electronic communications, to get their vaccinations. We were honoured to be trusted by NHS Notify to be responsible for this key aspect of the communication delivery process.

The capacity at Synertec meant that normal business could remain unaffected whilst also undertaking the significant volume of letters required for the campaign. Our state-of-the-art production facilities in Bristol, Warrington and Milton Keynes enable large volume output, while also having a contingency plan to reroute letters from one site to another automatically, should the unlikely event of an external disruption take place.

Our ability to receive and process large amounts of data was truly important for the success of this campaign, combined with our capacity to manage the high volume sending of letters. The invitations were sent out in cohorts, focusing on the Flu letters for 2-3 year olds first, before moving into the letters which invited individuals in the age bracket of 75+ for their COVID-19 and Flu vaccinations. The campaign then moved into the next age bracket which was the 65-74 cohort who were all provided with the letters. The final focuses for the campaign were on the clinically vulnerable citizens from age 5-64 and children aged 5-15 which included translations of the key information. All communications throughout the campaign were sent electronically by NHS Notify in the first instance, with any failures or un-reads

triggering a letter to be sent by Synertec.

Where required, reminder letters for each of the forementioned cohorts were sent to remind these individuals to have their all-important vaccinations to keep them safe and well over the Autumn period.


All letters that we sent included not only standard English, but English containing a translation of the key information from the letter into 23 different languages. In addition to this, we were also able to facilitate letters in a Large Print font in line with AIS requirements, and fully translated letters for the 16-64 and 65+ age cohorts in 23 different languages, which is a testament to the flexibility of the data that we can capture, transform and deliver into chosen communications.


In total, during this campaign, Synertec sent 5,913,930 letters on behalf of the NHS to individuals across the country for the COVID-19 and Flu communication efforts.
